Building a Social Media Content Calendar in Canva

January 12, 2026 (9mo ago) · 2 min read

The businesses that post consistently are not more creative than the ones that go quiet. They just decide earlier. A content calendar turns "what should we post today?" — a daily small stress — into one planning session a month. Here is how I build one in Canva for clients.

Step 1: Pick three or four content pillars

Pillars are the recurring themes a business rotates through. A typical set: educate (tips in your expertise), show (your work, products, behind the scenes), connect (stories, people, community), and offer (services, promotions, how to book). Every post belongs to a pillar, so the feed stays balanced without overthinking.

Step 2: Build templates once

In Canva I make one clean template per pillar — same fonts, colours and logo placement, different photo and headline. After that, a "new" post takes minutes: swap the image, change the text, done. This is also what makes a feed look professional — repetition is recognition.

Step 3: Fill the month on one page

I lay the month out as a simple grid: date, pillar, topic, status. We fill topics in one sitting, the owner approves the whole month in one review, and scheduling becomes a mechanical task instead of a creative one.

Step 4: Captions in the same sitting

A caption written beside its design is ten times faster than one written at posting time. I draft them with the calendar — hook first line, one clear message, one call to action, and a small set of researched hashtags.

Owners are always surprised how light this feels. One afternoon of planning, and social media stops interrupting every day. If you want that rhythm for your business, take a look at my content support package.
