"What do you actually do all day?" is the question I hear most — from business owners curious about hiring a VA, and from teachers curious about my other work. The honest answer: a little of everything that keeps a business organised, and none of it is glamorous. That is exactly why it matters.
The morning: inbox and calendar
My day often starts with someone else's inbox. I sort new mail into what needs the owner today, what I can answer from agreed templates, and what can wait. Then I check the calendar — confirming meetings, adding prep notes, and flagging anything that clashes across time zones.
The middle: data and content
Late morning is usually data work: updating a CRM after calls, cleaning a spreadsheet, or building a small research list. After that comes content — formatting a blog post in WordPress, adding products to a Shopify store, or designing next week's social posts in Canva.
The thread through it all: systems
What ties the tasks together is not the tasks themselves. It is the checklists, naming rules and templates behind them, so the work comes out the same way every time — whoever is busy, tired or travelling.
- Recurring tasks live on checklists, not in anyone's memory
- Files follow one naming system, so anything is findable
- Templates keep replies warm but consistent
If your day disappears into these small jobs, that is the signal. You do not need more hours — you need a system, and someone to run it. You can see how I package this work on the Services page.
